Privacy Policy

1. What we collect

We only collect personal information we need to respond to you, deliver our services, or run our business. Depending on how you deal with us, this may include:

• Contact details - name, organisation, email address, phone number, postal address.
• Enquiry and quote details - the site address, property type, the work you need, timeframes, and anything you write in a message.
• Files you upload - plans, photos, survey or test reports. These may show the interior of a property or the people in it; please only upload what is needed for the quote.
• Job application details - your CV, cover note, the role you are applying for, qualifications, licences (for example WorkSafe asbestos licence numbers), work history and, if you progress, referee contact details and pre-employment check results.
• Project information - for clients, information required to carry out and document the work, including site access details, health and safety inductions, and completion and clearance records.
• Technical information - IP address, device and browser type, pages visited and how you reached the site, collected through cookies and analytics tools (see section 7).

2. Where we collect it from

Most information comes directly from you: through our forms, by phone or email, or on site. We may also collect information about you from:

• your employer or organisation, when they engage us on your behalf;
• referees you nominate, and publicly available licence registers, when you apply for a role with us;
• Google Analytics and similar services, which collect technical information automatically when you use the site.

Where we collect personal information from someone other than you, we will take reasonable steps to make sure you know we have it and why, unless an exception under the Privacy Act applies.

3. How we use it

We use personal information to:

• respond to your enquiry and prepare a quote, including routing it to the right SES division;
• book site visits, carry out and document the work, and invoice for it;
• meet our legal obligations, including health and safety, asbestos removal notifications to WorkSafe New Zealand, and record-keeping requirements;
• assess job applications and carry out pre-employment checks with your knowledge;
• send you information about our services where you have asked for it or would reasonably expect it - you can opt out at any time;
• improve our website and understand how people use it;
• protect the security of our site, systems and people.

We do not sell personal information and we do not use it for automated decision-making.

4. Who we share it with

We share personal information only where needed for the purposes above, or where the law requires or permits it. That may include:

• SES staff and contractors who need it to quote, schedule or deliver your work;
• regulators, including WorkSafe New Zealand and local councils, where notification or reporting is required;
• your organisation or property manager, where they engaged us;
• service providers who run parts of our business for us - website hosting, form and email delivery, spam filtering, analytics, accounting and payment systems. These providers may only use your information to provide their service to us;
• professional advisers, insurers and law-enforcement agencies where necessary to protect our rights, respond to a claim, or comply with a lawful request.

5. Information that leaves New Zealand

Some of our service providers store or process data outside New Zealand. At the date of this policy they include our website host (WP Engine), email delivery (Postmark), anti-spam filtering (CleanTalk), Google (Analytics, Tag Manager, Maps and Workspace) and our accounting software. Where information is held overseas we take reasonable steps to make sure it is protected by safeguards comparable to those in the Privacy Act 2020, for example the provider’s contractual commitments and security certifications.

6. How we keep it safe and how long we keep it

We protect personal information with access controls, encrypted (SSL) transmission, managed hosting with daily backups, and staff who are trained to handle client and site information carefully. No system is completely secure; if you believe your information has been compromised, contact us immediately using the details below.

We keep personal information only as long as we need it for the purpose it was collected, or as the law requires:

If we have a notifiable privacy breach - one likely to cause you serious harm - we will notify the Office of the Privacy Commissioner and the people affected as soon as practicable, as the Act requires.

7. Cookies and analytics

Our website uses cookies and similar technologies to keep the site working, remember your preferences and measure how the site is used. We use:

• Essential cookies - required for security, forms and the cookie banner itself. These cannot be switched off.
• Analytics cookies - Google Analytics 4, via Google Tag Manager, to see which pages are visited and how visitors reach us. IP addresses are anonymised and we do not use analytics to identify individuals.
• Embedded services - Google Maps on our Contact page, which may set its own cookies when loaded.

You can accept or decline non-essential cookies using the banner when you first visit, and change your choice at any time via the “Cookie settings” link in the footer. You can also block cookies in your browser; some parts of the site may not work as intended if you do.

8. Your rights: access and correction

You have the right to ask for a copy of the personal information we hold about you and to ask us to correct it if it is wrong. Email info@s-e-s.co.nz with “Privacy request” in the subject line. We will confirm your identity, then respond within 20 working days as required by the Privacy Act 2020. We do not charge for access requests. If we decline a request we will tell you why, and you may attach a statement of correction to your record.

9. Children

Our services and website are intended for adults and organisations. We do not knowingly collect personal information from anyone under 16. If you believe we have, contact us and we will delete it.

10. Complaints

If you are unhappy with how we have handled your personal information, please contact us first and we will do our best to resolve it. If you are not satisfied with our response you may complain to the Office of the Privacy Commissioner: www.privacy.org.nz, 0800 803 909.

11. Changes to this policy

We may update this policy from time to time. The current version, with its date, will always be published on this page. Significant changes will be highlighted on the site for 30 days.
